【摘要】：出口公司在業(yè)務擴大、組織結構變化過程中,仍停留在數(shù)據(jù)處理階段的單證管理子系統(tǒng)已無法滿足協(xié)作辦公的需求。本文以SUTEX公司為案例研究旨在幫助同樣情況的企業(yè)過渡到流程型OA階段,并為尚有空白的單證管理信息系統(tǒng)文獻增添一筆。本論文從分析我國出口企業(yè)單證管理信息化的存在問題和分析外貿管理系統(tǒng)或軟件存在的問題,找出企業(yè)業(yè)務系統(tǒng)阻礙單證管理電子化發(fā)展的原因,找出適合企業(yè)操作的系統(tǒng)功能需求分析方法步驟和流程型OA功能。理論上提出單證管理系統(tǒng)功能作為出口公司業(yè)務系統(tǒng)中的一部分必需從事務型OA轉向信息流管理型OA,并將質量文件納入廣義單證范疇和系統(tǒng)數(shù)據(jù)庫,利于操作層解放生產力和組織內外分工協(xié)同效率;有利于管理層快速獲得決策數(shù)據(jù);有利于充實數(shù)據(jù)庫,讓決策層管理系統(tǒng)采集的數(shù)據(jù)來源更全面,數(shù)據(jù)分析更精確的觀點。技術上提出用Excel分析、篩選、驗證、積累系統(tǒng)功能所需的數(shù)據(jù),在成本和管理方面能讓軟件公司更快更深入地理解企業(yè)各層需要的單證管理系統(tǒng)功能。實際應用上運用托運登記表的工作流歷史數(shù)據(jù)生成數(shù)據(jù)透視圖和表,找出SUTEX出口公司單證生產的瓶頸原因,畫出組織結構圖,系統(tǒng)文檔和工作流程關系圖。從工作流時間管理提高生產效率和工作流文檔管理提高服務質量兩方面提出對系統(tǒng)的改進方案。成功建立Excel信用證管理系統(tǒng)模型,除具有文件部分內容自動填寫和流轉功能,還可有效利用數(shù)據(jù)庫中靜態(tài)信用證數(shù)據(jù),動態(tài)實現(xiàn)時間管理單證進度提醒功能。
[Abstract]:In the process of the expansion of business and the change of organization structure, the document management subsystem, which is still in the stage of data processing, can no longer meet the requirements of cooperative office. This paper takes SUTEX Corporation as a case study to help enterprises in the same situation to transition to the stage of process-based OA and to add a sum of money to the document management information system literature with gaps. This paper analyzes the problems of document management information in export enterprises and the problems in foreign trade management system or software, and finds out the reasons why the enterprise business system hinders the development of electronic document management. Find out the method and steps of system function requirement analysis and flow-based OA function. In theory, it is proposed that the function of document management system as part of export company business system must be changed from transactional OA to information flow management OA, and the quality file should be incorporated into the generalized document category and system database. It is propitious to liberate the productive forces at the operation level and cooperate with the division of labor inside and outside the organization; It is helpful for management to obtain decision data quickly, to enrich database, to make the data collected by decision layer management system more comprehensive and to analyze the data more accurately. Technically, it is proposed to use Excel to analyze, screen, verify and accumulate the data needed for the system function, so that the software company can understand more quickly and deeply the functions of the document management system required by the enterprise in terms of cost and management. In practical application, the workflow historical data of shipping registration form is used to generate the data perspective and table, to find out the bottleneck reason of SUTEX export company document production, to draw the organization chart, the system document and the workflow relationship diagram. The improvement scheme of the system is put forward from two aspects of workflow time management to improve production efficiency and workflow document management to improve service quality. The successful establishment of Excel credit management system model not only has the functions of automatic filling and circulation of some documents but also can effectively use the static credit data in the database and dynamically realize the function of reminding the schedule of time management documents.
