    Position Title: Office manager and logistical coordinator

    Duty Station: Beijing

    Position Category: Full-time

    Contract Duration: Immediately to 31 December, 2013

     

    Project Summary:

    “Legal Aid for Marginalized Groups (LAMG) is a bilateral technical cooperation project between the Government of Canada and the Government of China, funded by The Canadian International Development Agency. The project is delivered for Canada by the Canadian Bar Association in partnership with Legal Aid Ontario and Community Legal Education Ontario. The project works with the National Legal Aid Centre of China and Provincial Legal Aid Centres of Jilin, Liaoning and Yunnan to build the capacities of these legal aid programs.”

     

    Responsibilities:

    Office management: Day to day running of office; maintaining office supplies and relations with suppliers, setting up and managing file systems, correspondence, etc.  Responsible for Beijing office when project staff are abroad or traveling within China.

    Communications: Manage communications for professional staff with project partners in Beijing and provinces, Canadian embassy, other donors and stakeholders.  Respond to requests for information when Project management staff are unavailable.

    Logistics:  Logistical support for study tours and travel within China for China-based staff and Canadian technical advisors, including travel and accommodation arrangements, preparation of written and electronic resource materials, arranging translation of documents, etc. Maintain coordinated calendars and schedules for project activities.

    Financial:  Collect and manage invoices, bills, etc. and prepare records for accounting. Reconcile bank accounts and prepare reports as needed for project management.

     

    Key Qualifications:

    - Excellent written and spoken English and Mandarin (other languages would be an asset).

    - Excellent written and oral communication skills and strong interpersonal skills.

    - Excellent computer skills in word processing, Microsoft Excel, Microsoft Power Point, and web-based searching. Additional computer skills would be a strong asset.

    - Demonstrated organizational skills

    - Demonstrated ability to work independently under pressure and meet tight deadlines

    - Familiarity with book-keeping and basic accounting principles would be a strong asset.

    - Knowledge of legal systems and access to justice issues for the poor would be an asset.
